Hours of Operation and Availability
All Receptions are based upon a maximum five-hour time frame and are expected to conclude by 10:00 PM on the Conference Center Lawn and by 11:00 pm in the Conference Center Ballroom.

Wedding Package Room Rates and Cancellation Policy
Your Wedding guests are provided with ocean view rooms at 10% off our published rack rates January through June, and after Labor Day through December. The bride and groom will receive a complimentary room January through June if 25 or more rooms are booked. In July and August the bride and groom will receive 50% off their room rate if 25 or more rooms are booked. The bride and groom will receive a complimentary room after Labor Day if 25 or more rooms are booked. All unused rooms will be released 30 days prior to function date. All individual reservations are required to pay the first night by credit card and can cancel 14 days prior to function date with a $20 cancellation fee; after 14 days guest is subject to forfeit the first night. Check-in time is 3:00 PM and check-out is 11:00 AM.

Reception Deposits and Payments
At the time of booking, we require a $1000.00 non-refundable deposit. The remaining balance will be due upon departure of the resort.

Food and Beverage Policies
Menu selections should be arranged at least thirty (30) days prior to function date to ensure a smooth running event. The exact number of guests attending must be guaranteed fourteen (14) days prior to function date after which the number may not be reduced. If no guarantee is given, then the last estimate will be used, you will be charged for the guarantee number or the exact count, whichever is higher. Should the anticipated attendance increase or decrease, the resort reserves the right to change rooms suitable for attendance.

Service charge and Tax
Please add 20% service charge and 7% Maine state tax to all food prices. The Hotel's conference/function rooms are licensed areas, prohibiting any food or liquor to be brought in for consumption. The resort as a licensee is responsible for the sale, service and expedition of all food and beverages. No alcoholic beverages will be served or consumed by anyone under the age of twenty-one (21). Proper identification is required. All food and beverage prices subject to change prior to function confirmation date. Security

The resort shall not be held responsible for damage or loss of any materials left at the resort prior to or following the function. The resort reserves the right to require security for selected groups.

Cancellation of a Function
In the event of cancellation, all deposit and payments made to date would be forfeited.

Entertainment
All bands hired for your reception must be approved and have a permit from the town of Bar Harbor. The Atlantic Oakes reserves the right to control volume of your music in consideration of other guests on the property. You must provide to us the name of any DJ's you may be hiring for your reception. We reserve the right to check references on and provide final approve for your DJ's performance at The Atlantic Oakes. Bar Harbor has a noise ordinance limit of 10:00 PM.

Items available to rent through Atlantic Oakes
  • 120" white round table cloths - $3.75 per table
  • Hurricane glass shades - $1.00 per table, $1.75 with red rose petals
  • Tent rentals vary in prices and sizes, we charge $1000.00 for the rental of the lawn and the set up inside the tent.
Note: The Atlantic Oakes does not allow the throwing of rice, bird seed, rose petals and confetti inside or out.

Conference Center Facility Fees

Conference facility fee for receptions for up to 100 people $750.00
Conference facility fee for receptions for more than 100 people $1000.00
The facility fee will include white chair covers, with white satin or maroon bows and the cake cutting by the staff.
To reserve the facility the night before after 3:00 PM, for decorating $200.00 if available
To have the ceremony inside the Conference Center $150.00
To have the ceremony outdoors, or by the ocean $200.00

Cash and Open Bar Policies
Bartender charge of $80.00 applies for open bars. $80.00 bartender charge applies if $200.00 in sales per bar is not exceeded for cash bars. If cocktail service is desired, please add $50.00 service charge per server. All prices subject to change, state tax and 20% service charge. Bar will close by 11:00 PM for an evening indoor event, and by 10:00 PM for an evening outdoor event.
  • No Shots or Shooters.
  • No more than two (2) drinks at a time will be served to any guest.
  • Bar will shut down without "Last Call."
